Your Commitment

The Off-Campus Housing Network is a partnership across our community that will support an iconic off-campus residential experience. Property owners that participate in the the Ohio State Off-Campus Housing Network will commit to pre-determined criteria and be considered in-network. Those property owners in-network will be the only entities to access the Ohio State Off-Campus Housing Network benefits. In addition, students and families will have access to information about in-network properties and will be able to make informed decisions about living off-campus.

My company commits to:

Have leases that abide with city, state, federal law. *
* Including following the new renter's choice legislation

Lease all properties that meet City of Columbus Housing Code . *
* Safety inspections with all network members will be completed for up to 5% of the company's portfolio conducted by Ohio State University and/or city/community stakeholders.

Provide and maintain exterior lighting at the rear and front of all properties.

Provide carbon monoxide detectors in all applicable properties – every home with at least one fuel-burning appliance/heater, attached garage or fireplace.

Provide an after-hours contact phone number (to tenants and Ohio State) where OSU can talk to someone to ensure late night/weekend issues can be reported by University and/or safety entities in a timely fashion.

Respond to all reports on the property of noise, hazards, trash, unsafe behaviors, etc.

Provide tenant names and addresses in emergency situations.

Meet individually with OCCSE at least twice annually.

Meet with OSU, potentially City Code Enforcement, CFD and/or CPD and tenants when requested (depending on the type of challenge).

Engage with OCCSE regularly (to keep lines of communications open, to provide feedback, communicate challenges, trends, etc.). This could include participating in surveys, focus groups, etc.

Attend at minimum 50% of Community Roundtables annually.

How often do you conduct exterior inspections of property to monitor Crime Prevention through Environmental Design (CPTED)?

As needed

What is your procedure for replacing physical locks and/or resetting electric keypads? Is this process completed annually and/or upon request?

Electronic locks are reprogrammed annually and/or when new tenants move in. Physical locks are replaced and/or re-keyed as needed or upon request.

How often do you conduct exterior inspections of property to monitor for needed repairs or maintenance, problematic and/or illegal structures and/or signage?

From time to time, and/or upon request by tenants. There are also physical inspections by property management, the City, and OSU that occur on a scheduled basis.

Maintenance

How often do you conduct exterior inspections of property to monitor litter?

Litter at residential houses is most easily monitored by the occupants. Management also inspects whenever at the property.

What frequency do you conduct furnace, dryer, and air conditioning (if applicable) inspections and filter replacements? Does your lease obligate your tenants to change filters themselves?

Tenants are responsible for routinely cleaning dryer lint from lint traps with every dryer cycle / use.

In the event of exterior water intrusion issues, what measures are taken? Do you participate in regular water and/or mold inspections?

In the event of exterior water intrusion, measures are taken to address the root source of the problem depending on what the problem may be. Tenants are responsible to report any concerns so that repairs may be completed in a timely fashion.

Lease & Obligation

How do you follow the new renter's choice legislation? This states that landlords are required to provide tenants with written notice of acceptable security deposit options. These include paying the full traditional security deposit upfront or installments over three or six months.

All statutory obligations are always followed as applicable.

Does your lease include bond programs or property damage waivers? If so, explain how these protect the tenant and/or landlord.

We are not aware of any bond programs or damage waivers. Tenants are responsible for any damage that they cause. Landlord is responsible for repairs consistent with the Landlord Tenant Act of 1974.

Does your lease include a provision outlining the specific utilities for the given rental unit, including gas, electric, water/sewer, internet, cable, any security system, etc.? Is there transparency in the use of submetering or third-party companies?

Tenants are responsible for all of the above utilities. There is no submetering or third parties.

Does your lease include which utilities are the tenant's responsibility to pay?

Yes

Does your lease include which utility accounts will be in the tenant's name, and which are in the property owner's name?

If the utilities are the tenant's responsibility, does the lease include whether the tenant is required to pay the provider directly or pay the property owner?

Does your lease specify that tenants are not charged more than the residential rate for utilities?

Does your lease have clear terms regarding parking specific to the given rental unit (e.g. how many parking spaces are provided for the unit, the cost of parking, whether the guaranteed space or first come first serve, and any other pertinent details regarding parking)?

Do you provide all tenants and cosigners/guarantors with an electronic copy of the signed lease which is signed by all parties including property owner/lessor?

If you collect a holding fee, does your lease, or another agreement with the tenant(s), indicate if the holding fee is refundable and include clear stipulation including the date by which the holding fee will be returned if the unit is not rented by the tenant(s)?

Do tenants pay prorated first and/or last month rent or do they pay 12 equal installments regardless of whether the lease term is less than 365 days or commences/expires during the month?

Proration of rent depends on when the tenant's lease begins and ends.

Does your lease agreement impose joint and several liability on the tenants, individual liability, or a combination of both?

There is an application process and the above depends on the particular circumstances of the tenant(s) applying on an individual basis.

Do most/all your campus area leases commence and expire on the same dates, or do you offer some level of flexibility on the start/end dates?

Typically campus area leases commence and expire on the same dates so as to be consistent with the university academic calendar. There are exceptions.

What are your policies, processes and fees, if applicable, for subleases or assignments?

There are no fees, however sublettors must be approved at the sole personal discretion of the landlord.

What is the best and preferred method of written communication for needed repairs?

The fastest form of communication is a verbal telephone call to notify management so that repairs can occur at the earliest possible time. Above answers are accurate at the time of completion but subject to change without notice.

Do you have a leasing office that is staffed and open for tenants to visit?
